Terms and conditions

INTRODUCTION

 

RealPoland is a trademark of an incoming tour operator owned by RealPoland Sp. z o.o. with its seat in Góraszka, ul. Krótka 22, 05-462 Wiązowna. RealPoland is registered in the National Registry of Polish Tour Operators with a number of 1801.
Please, ensure that you read the following Terms and Conditions before booking and that they are understandable for you. By making payment to RealPoland you confirm accepting the Terms and Conditions.

TOUR TYPES AND DEFINITIONS

 

RealPoland organizes the following kinds of tours:

  • Small Group Tours – tours organized in guaranteed, previously fixed dates. Tours are fully escorted. Groups are no bigger than 16 travelers. Minimum number of participants: 8.
  • Private, customized tours – tours lasting more than 3 days, with itinerary booked in advance. Available all year round.
  • City Tours – tours lasting no longer than 3 days.

PRICES

 

Rates for tours organized by RealPoland are calculated in Polish Złoty (PLN). Payments are made in Polish Złoty. We always provide the approximate calculation in other currencies, but it is not to be understood as the amount payable.
We recommend paying the whole amount required for the tour at the point of confirming your reservation, which will allow you to aviod the risk of fluctualting currency rates. Once the payment is made, the price is confirmed and guaranteed and we never ask for additional surcharges.

PAYMENT POLICY

 

The payment policy depends on the type of tour you are booking:

  • Small group tours – 20% prepayment made when confirming your booking. The remaining balance should be paid 30 days prior to departure date.
  • Private, customized tours – 20% prepayment made when confirming your booking. The remaining balance should be paid 14 days prior to departure date.
  • City tours – the full amount should be paid 3 days prior to tour date.

PAYMENT METHODS

 

We accept following payments methods:

  • Credit Card payment. We accept payments with the following cards: Visa, Visa Electron, Mastercard, MasterCard Electronic, Maestro. We accept also American Exprress, Diner’s Club and Discover Cards.
  • Bank transfer. Please note that the Customer covers all additional bank fees.

CANCELATION POLICY

(cancellation made by the Customer)

 

The cancelation fee depends on the Tour Type.

Small GroupTours

If you cancel your reservation:

  • 45 days and more before the tour start date, we only take 10% transaction fee.
  • 44-30 days before the tour departure, the cancelation penalty is 20% of the total price of the tour.
  • 29-10 days before the tour departure, the cancelation penalty is 50% of the total price of the tour.
  • 9 days before the tour or later, the cancelation penalty is 100% of the total price of the tour.

No money is refunded if you resign from the tour once it has started or you do not arrive to Poland at all.

Private, Customized Tours

If you cancel your reservation:

  • 30 days or more before the tour departure, as long as it is possible to cancel all hotel bookings free of charge, we only take 10% transaction fee. Should your hotel have a policy of cancelation fees, our tour consultant will inform you about this fact before booking it.
  • 29-15 days before the tour departure, the cancelation penalty is 40% of the total price of the tour.
  • 14-8 days before the tour departure, the cancelation penalty is 75% of the total price of the tour.
  • 7 days before the tour departure or later, the cancelation penalty is 100% of the total price of the tour.

No money is refunded if you resign from the tour once it has started or you do not arrive to Poland at all.

City Tours

If you cancel your reservation:

  • 3 days or later before the tour departure, the cancelation penalty is 100% of the total price of the tour.

All cancelations must be made in writing.
In case of cancelation during the tour, no refund will be made for the unused part of the tour.

CANCELLATION MADE BY REALPOLAND

(Small Group Tours)

 

We never cancel tours. However, should it be necessary to cancel the tour prior to departure date, RealPoland will make every effort to provide similar alternative arrangements at the next available date at no additional cost, offer an alternative Small Group Tour or a more private option of the tour at the lowest possible price. If this is not acceptable, a full refund will be made to the CUSTOMER.

TOUR INCLUSIONS

 

All services included in the tour price are always listed on your tour voucher. Prices do not include: airfares, tipping and other gratuities to drivers, guides and other service personnel, passport and visa charges, airport taxes.
Travel insurace is always included in the Small Group Tours. In case of other tour types – please contact your Tour Assistant.

NUMBER OF PARTICIPANTS (small group tours)

 

Maximum: 16 travelers. Minimum: 8 traveles. However, if the group is smaller than 8 people, it is very ulinkely that we will cancel the tour. We will organize a private tour at the same price.

AIR TRANSPORTATION

 

The price for the tour does not include the price for the airline tickets.  Please note that Poland is a member of  theSchengen area.  Your passport must be valid for 6 months after your return date. It is solely the responsibility of the passenger(s) to arrange for all documents needed to enter Poland, or any other country passing through in transit.

TOUR DOCUMENTS

 

Tour vouchers are issued after receiving the final payment. However, RealPoland does not take resposibility for fulfilling the passport, visa or any other immigration requirements (when needed). This should be confirmed with relevant embassies or consulates.
RealPoland does not take responsibility for you not being able to travel due to not fulfilling any legal requirements.

COMPLAINTS

 

All formal complaints must be submitted in writing within 10 days after the end of the tour. It is possible to send them via e-mail (to: info@realpoland.eu), fax (Polish fax number: 0048 22 780 02 38) or post (RealPoland Sp. z o.o., Góraszka ul. Krótka 22, 05-462 Wiązowna, Poland). The complaint should include the description of services the Customer was not satisfied with.

RealPoland will refund the difference between the contracted services and the replacement services, on the condition that the Customer does not receive replacement services of the same or higher value. We recommend to contact us also during the tour, then we will be able to react to the situation immediately.
